I participated in organizing the 2023 Festisol in Saintes (17) in collaboration with other volunteers from the "Maison des Lycéens" (MDL) and the association "Cent pour un Toit" in Saintes. This project was approved during a meeting of the MDL Board of Directors, where we decided to organize this charity concert proposed by the association "Cent pour un Toit." We held several meetings with representatives from both the MDL and the association to coordinate the event. The organization included managing various administrative documents, preparing equipment (tables, sound, and lighting), as well as arranging food and drinks at the bar.
I actively participated in all the general organization meetings for the 2023 Festisol, where we discussed logistics and various aspects of the festival. In particular, I was involved in preparing furniture and lighting for areas outside the stage. The stage equipment was handled by sound and lighting technicians, but my responsibility was to ensure that everything else, such as tables and venue arrangements, was ready before the event. This required coordination with other volunteers and managing various elements to ensure the evening went smoothly.
On the event day, I joined three other volunteers to assist the security team. Our main task was to monitor the number of people entering and leaving the venue during the 3.5-hour festival. We had to ensure that the number of attendees did not exceed 500 at any time for safety reasons. Divided into two teams of two, we recorded entries and exits and stamped attendees' hands to indicate they had been checked by security staff. This system allowed us to maintain control over the number of people in the venue and ensure everyone's safety.
This concert allowed me to discover the administrative complexity involved in a small event and the organization required between two different associations.
